Create and view reports based on guest reservations, Agreements, Surveys, or orders.


What Is the Reports Tab?

The Reports tab allows your team to customize and view guest information based on various set filters for more internal tracking. Unlike the Records tab, it allows you to query guests and set up multiple filters over a range of dates.

 

Use Reports to view upcoming guests and check if they’ve signed all of their necessary Agreements or track guest ratings after their stay and filter by month for accurate reporting.

How Do I Create and Edit a Report?

 
Please reach out to us in the Support Chat or at help@akia.com if you do not see the Reports tab and would like to add this to your account.
 
  1. Go to the Reports tab and click on + New
  1. Select the type of Report you would like to create

      • Reservations Report
        • View your guest information.

      • Surveys Report
        • View all guest responses to your Surveys. Filter by a specific question to only see relevant answers.

      • Orders Report
        • View orders (either from upsells or menu orders) made by guests. You’re able to see what items have been ordered as well as the cost per item and if the payment has succeeded (if you have installed Stripe in Akia). Use the pencil icon to filter by “Item Name” “in” and list out any items you want to track.

      • Tasks Report
        • View recently created or completed tasks. Filter by department or completion date to see how long tasks stay open prior to being marked complete.

      • Agreements Report
        • View which guests you’ve sent an Agreement to and if they’ve signed it on a per-guest basis. You are also able to add columns based on the guest inputs requested in your Agreements.

      • Mini App Submissions Report
        • Any information you prompt the guest to include in the Mini App can be a column in the report so you can easily view all guest responses at once. Track information added by guests in Mini Apps. Track if guests arriving within the next week have completed their Mini App.

      • Ratings Report
        • View a breakdown of how guests are rating their stay via the rating component in Mini Apps, based on the percentage of guests who select a specific rating, as well as the average rating per question.

      • Messages Report
        • View all messages sent on Akia in a specific date range for your office. This is great if you want to monitor Akia user’s responses to guests and train new employees.
        • This report includes messages sent to and from guests as well as automated and staff messages. You can filter for these types of messages with is inbound true/false and sent by is set/is not set filters respectively.

  1. Once you have created the Report, configure which columns you want to see by clicking the Columns button, or edit the filter by clicking “…” and Edit

Akia Tip: To delete a report, click the “” and Edit. In the bottom of the sidebar click Delete.
 

Scheduled Reporting

Want to get this report sent to you at a specified time interval rather than remembering to log into Akia and view it? Users can subscribe to a report and get an email link on a specific day/time. Each report sent to the user will be unique and based on the time the report was scheduled.

 

Click the “” and Subscribe to specify how often you want to receive the report.

The email will be sent to the email you use to log in to Akia with. If outside parties need to be sent these reports, they would either need to be added as Akia users or you will need to forward them the email after Akia sends it.

How Do I Delete the Scheduled Report?

Go back to the Scheduled Report editor and hit Delete at the bottom. This will delete the subscription but will not delete your report.

Use Cases

  1. 📝 Did Future Guests Sign the Reg Card?: Keep track of who has signed the registration card before their arrival date.
      • Create an Agreements Report, select your registration card, and set the filter to Arrival Date = This Week/Month/etc.
  1. ⭐️ View Guest Ratings For the Last Month: View how guests are rating your property over a period of time.
      • Create a Reservations Report, set the arrival/departure date, and any other applicable filters. Add the Rating column to the table and view your guest ratings.
  1. 🧹 View Guest Responses to Housekeeping Survey: Track survey responses based on the room number the guest was in to see response trends.
      • Create a Surveys Report, add a filter for the room number, and view results.
