How to Connect Akia to Flexipass

Follow the steps below if you want to set up either digital keys or webkeys

  1. Reach out to Flexipass and have them send your access token to us (Akia)
  1. Once we have received your Flexipass token, we will set up Flexipass for your account and notify you when it has been completed

How to Configure the Flexipass Message

After Flexipass has been installed, click here and go to Settings to configure the message and access times for guests: https://sys.akia.ai/integrations/apps/flexipass

Remember to add the Message Token customer.key_code__c_flexipass in your message to ensure the guest receives their code!
 

How to Manually Issue/Revoke Codes

  1. Once the configuration by Akia has been completed, you will see a new component under the guest's profile that will allow you to issue a new code to the guest
  1. Select the reservation you want to issue the code for (if applicable) and click Issue New Code
  1. Your specified message will then send to the guest

How to Automatically Issue/Revoke Codes

After you have installed Flexipass, you will be able to configure your scheduled action to either Flexipass Issue Code or Flexipass Revoke Code. Upon code issuance, the message you specify above will send to the guest.

WebKeys

Instead of requiring your guests to download the Flexipass app to access their room, set up WebKeys within your Mini App so the guest can access their room at the tap of the button. Because WebKeys grants door access based on the button in the Mini App being tapped, as long as the guest has access to the button, they will be able to access the room. To ensure the button is no longer visible on the Mini App page, you must set up Display Rules to hide the button after the guest departs.
 

Set Up Display Rules to Hide WebKey Button

  1. Go to the Mini App editor and select the button component
  1. Toggle from Configuration to Display Rules and add any applicable conditions to prevent guests from viewing the WebKey button after their stay
      • If we get the Arrived status from your PMS, you can only show the button if the guest’s reservation status equals Arrived
      • If you send the Mini App on the day of arrival, add Departure Date after Today and Departure Date is Today with Matches ANY to only show the button for guests currently on the property
  1. Hit Save Changes in the top right and Publish to make your changes available to guests

Set Up Specific/Communal Door Access

  1. Go to the Mini App editor and select the button component
  1. Change the Configure Action to FLEXIPASS Open Door
  1. The door_name should be the device name in Flexipass that you want the guest to open
      • E.g. Inputting “front door” would allow the guest to open the “front door” lock, and inputting “101 Common Room” will allow the guest to open the “101 Common Room” lock
  1. Hit Save Changes in the top right and Publish to make your changes available to guests

Set Up Room Access

  1. Go to the Mini App editor and select the button component
  1. Change the Configure Action to FLEXIPASS Open Door
  1. Leave the door_name field blank
      • Akia will check the room number on the reservation with all of your Flexipass device names and will open the door if the two match
      • E.g. The room on the reservation is “Room 101” and you have a device named “Room 101,” the device will unlock. If the device is named “Room 101A,” it will not unlock since that does not match the room on the reservation.
  1. Hit Save Changes in the top right and Publish to make your changes available to guests

Frequently Asked Questions

Door Codes

  • The Flexipass code isn’t being shared in the message I set up in the settings.
    • Please ensure that you’re using the token customer.key_code__c_flexipass in your message, which will automatically update to the guest’s code.
  • How do I grant access to common doors with Door Codes?
    • Within Flexipass you’re able to add a common door to the device’s access which will allow the guest to access both the common door and device with the same code.
 

WebKeys

  • If I use WebKeys, am I issuing a Flexipass code in my automations or manually?
    • No, WebKeys would be the button in your Mini App, you will not be issuing the guest any code to download the app.
  • How can I share WebKeys with accompanying guests?
    • If we receive accompanying guest data from your PMS (or through the Accompanying Guest component in Mini Apps), we can set up an automation to send the Mini App to these accompanying guests as well.
    • If you manually add these numbers into Akia, you can create a macro with the Mini App to send it manually to these applicable guests.
  • How can I grant access to common doors with WebKeys?
    • Create separate button components with the Flexipass Open Door action for each common door. Ensure that you input the door_name as it’s named in Flexipass.
