What Are Team Chats?
Team chats are a way to internally communicate in the property, departments, or 1:1 with another user. If you want to limit who can speak in a team chat, make it announcement only and only Admins will be able to message in the chat. Any task that is created will automatically have its own “task chat” created so you can easily discuss the task with relevant parties.
How to Create a Team Chat
- Click the + button next to Inbox
- Begin typing in names or select them from the Team Members and/or Departments sections
- Click Ok to create the new team chat and it will show at the top of the Inbox screen (under any pinned or connected conversations)
- Optionally update the name of the team chat and if you want to mark it as Announcement Only
Directly Message Another User
There are two options to directly message another user
- Create a new Team Chat and only add that specific user
- Go to an already-created team chat, click on a participant’s name in the sidebar, and select Send Message to open up the 1:1 team chat
Edit Team Chat
Clicking on the pencil icon in the right sidebar will allow you to edit the chat’s name or make it announcement only (or revert it to a regular team chat)
Pin a Team Chat
Clicking the pin icon to the right of the pencil icon will pin the conversation to the top of your Inbox (and will take precedence over any conversations you are connected to).
Add/Like Notes
You can add notes in the sidebar so that users can quickly refer to the information as needed. Users are also able to “Like” these notes if they want.
Manage Chat Participants
Adding a Participant
- Go to the Inbox
- Select the team chat
- On the right panel, click the Participants dropdown and select a user to add
- Once selected, that user will be added to the chat
Removing a Participant
- Go to the Inbox
- Select the team chat
- On the right panel, hover over any participant and click the ⛔️ button to remove them
Messages in a Team Chat
You can do almost everything in a team chat as you can in a regular chat with a guest. The only differences are you can’t send a scheduled message using the Templates section, no magic wand to input Message Tokens into the text, and you are unable to delay the message sending.
Task Notifications
You will receive notifications when:
- A task is assigned to you or your department
- There is a new message in a task chat (the chat will go to the top of your inbox with a red circle but will not appear on the notifications page)
- When a task you are included in is completed
Use Case
- ⚠️ Property Issues/Announcements: Team chats are great if you find yourself needing to send information quickly to all of your employees.
- Set the team chat to Announcement Only to make messaging limited to Admins and ensure wrong information is not sent.
- 👥 Talk Within a Department: Quickly message others in your department if you have a particular question regarding a guest or issue.
- Select the specific Department you want to message in the Team Chat creation window.
- 🙋 Reach Out to a Team Member: Set up a 1:1 chat to get a quick question answered.
- Create a team chat with only one user, or directly send them a message from an already-created team chat.
